FAQ

Frequently asked questions

Answers to the questions manufacturers ask most often about onboarding, program visibility, and customer data.

What does Band do for manufacturers that pay rebates and SPAs to distributors?

Band is rebate management software for the paying side of the channel. It holds every distributor rebate agreement, special pricing agreement, and co-op or MDF program in one place, receives the claims and sales reports your distributors send in, validates them against your own shipment and pricing records, and calculates what each partner has actually earned. Finance gets accruals it can defend, sales gets a live view of where each distributor stands against its targets, and channel leaders can see whether a program is changing purchasing behavior or just costing money.

How does Band validate ship and debit and claim back submissions from distributors?

Distributor claims arrive in every layout imaginable, with catalog numbers, UPCs, and descriptions that do not match your item master. Band reads each submission, matches products and customers to your records, and checks every line against the agreement: is this customer covered, is this product included, is the claimed cost right, and did you ship that quantity to that distributor in the period. Lines that fail are held for review with the reason attached, so your team approves clean claims quickly and pushes back on the rest with specifics. Most manufacturers we talk to suspect they are paying claims they should not be; Band shows them which ones.

Can Band help us accrue for rebate programs accurately?

Yes. Because Band tracks each program against actual sales as they happen, it calculates the liability building under every agreement, whether the program is a flat percentage, a tiered volume program, or a growth target that will not settle until year end. Finance sees accrued, claimed, and paid amounts by distributor and program, with the transaction detail behind each number, so the rebate accrual ties to something auditable instead of a spreadsheet estimate. Forecasts update as sales come in, which takes the year-end surprise out of program cost.

Can our distributors see their own progress toward rebate tiers?

Yes. Band gives each distributor a portal view of its agreements, purchases to date, tier progress, and what it has earned, without seeing any other partner's data. That does two things. It cuts the calls and emails to your sales and finance teams asking for statements, and it puts the next tier in front of the buyer while there is still time to reach it, which is the whole point of the program. You control what each distributor sees, and you can offer it as a Band login or embed it in a partner portal you already run.

Which ERPs and data sources does Band work with?

Band works with SAP, Oracle NetSuite, Microsoft Dynamics 365, Sage, Infor, and Epicor, and with data warehouses such as Snowflake, through an API or scheduled flat files. We need your shipment and invoice data plus the agreements themselves. Distributor claims and sales reports can come in by email, EDI, or file upload in whatever format each partner already uses, so there is no requirement to change how your distributors submit.

How is Band different from managing programs in our ERP and spreadsheets?

ERPs are good at recording invoices and bad at agreements. A rebate program with tiers, exclusions, growth baselines, and a mid-year amendment does not fit in a price list, so it ends up in a spreadsheet owned by one person, and finance keeps a separate tracker that never quite ties. Band is the system of record for the agreements themselves, connected to the transactions that settle them. Sales, finance, and channel teams work from the same version of each program, changes and approvals are logged, and the numbers finance reports match the numbers sales promised. When the person who built the spreadsheet leaves, the programs do not leave with them.

How long does implementation take?

Your Band instance is ready at signing. We load your agreements and connect your sales data first, which usually takes a few hours of IT effort for the data feed, then bring distributor submissions in program by program. Many manufacturers start with their largest partners or the programs with the most disputes and expand from there. Timing depends on the number of programs and how quickly partner data arrives; most teams are validating live claims within the first few weeks.
